Assistant Director Job Desciption

Position:          Assistant Director, East Lyme Library, Inc.

Department:    Administration

General Statement of Duties:
Responsible for assisting in the administration of the library under the general direction of the Executive Director:  operating budget of over $1 million annually and a collection of 140,000 volumes comprising part of over 148,000 media items.  This position, because it is also an acting Director position, is assigned by the Director with the concurrence of the Personnel Committee of the Board of Directors.  The individual selected for this position shall, in the absence of the Director, be the best qualified to represent the East Lyme Library.  Qualifications shall include, but not be limited to, education (MLS), supervisory experience, and computer and reference skills.

In addition, this position is responsible for overseeing staff training and professional education.

Supervision received:              reports to the Executive Director of the library.

Supervision exercised:            supervises the work of the rest of the staff as head of Reference; supervises the volunteers except for those working in the East Lyme Room; and is in charge of the library operation in the absence of the Director.

Two circles of administration exist:    1) the Executive Director, the Administrative Secretary and the Accountant for the administrative office; and 2) the Director, the Associate Director (if filled), and the Assistant Director.  This second circle may also deploy the Director, the Assistant Director and a substitute Assistant Director.

Responsibilities include:        

  • maintenance of all schedules of the paid and volunteer staff and the securing of substitutes, including last-minute call-outs in the morning;
  • supervision of the work of the Reference staff (adult services);
  • planning programs given by the library for adults;
  • writing newsletter listing programs
  • selection and coordination of online databases;
  • selection and subscription to the library’s magazines, microfilms, newspapers and standing orders;
  • coordination of calendar for the East Lyme room and the library’s display case;
  • coverage of Reference desk as needed;
  • sending C-Car report to State Library each month
  • writing part of the Annual Report
  • overseeing the selection of an all-adult nonfiction collection, most of the adult reference collection acquisitions as well as adult audio-visual materials.
  • processing most hourly staff pay slips for Payroll
  • accept applications for volunteers, paid employment and lobby art displays
  • assist Director in enforcing library policy
  • other duties as assigned

The Assistant meets regularly with the Executive Director to lay contingency or emergency plans for the future of the library, its collections and space needs and to discuss scheduling and deployment of all staff.  The Assistant Director also oversees the community service workers which are accepted for community service work in the library and whose duties are limited to certain custodial maintenance items and help with collection maintenance.  (Note that we do not take drug and sexual offense community service workers or minors under 16 years of age or those arrested for theft.)

The Assistant also aids in the preparation of ratings of staff members and submits certain public relations releases to the media.

Coordinates adult services by planning programs and buying materials to fill the needs of the community.

Serves as an assistant on job interviews and handles the human resources elements of the paperwork involved in hiring; i.e., inauguration of the personnel envelope files and the Immigration & Naturalization form and transmittal to the Accountant.

Handles the memorial donations for individual memorials received and books in memory of and the Annual Report register for those.

Some evenings and weekend hours involved. Minimum qualifications include a Master’s in Library or Information Science and successful professional record of accomplishment, preferably in a public library setting. A master’s in a related field with substantial public library experience will also be considered. Preferred qualifications include grant writing, understanding the budget process, and use of statistical data to back up library operations. Salary range $51,415-59,059, anticipated start date July 1, 2012.
